Duties & Accountibilities:

Job Purpose (summary of major job responsibilities)

Support for Information Management Systems

•Ensures timely and high-quality Support for Bank’s Information Management Systems and Tools available to staff e.g. SAP, Portals, Business Intelligence, Electronic Document Management, Knowledge Management etc. according to agreed service standards.

•Conducts outreach and client education programs to improve client awareness and use of Information Management Systems; uses judgment of relevant institutional needs to develop presentations appropriate to client audience; develops communications to increase staff awareness of IM tools and their  capabilities.

•In collaboration with Service delivery team, ensures that Bank’s Operational Business Processes are efficiently and effectively supported by Information Management tools made available to Staff; Seeks feedback/ suggestions from staff and follows up with responsible team until resolution.

•Ensures that Bank’s information management systems are used in a manner consistent with Bank information security policy and facilitates security audits and reviews, tracks mitigation actions within the organization until resolution.

•Keeps abreast with Institutional Business Intelligence Strategy and tools; Conducts training programs on BI tools to support better reporting and decision making by SAR Staff.

•Coordinates development of customized reports and databases which are required by SAR business Units but, not easily available from central systems

Support for Records/ Document Management

•Contributes to development and implementation of Regional Information/ Document Management Policies and Guidelines; diagnoses and resolves system problems across all Records/ Document management applications

•Participates in the customization, testing and deployment of Electronic Content and Document Management applications in SAR; seeks feedback from clients and works with central delivery teams in introducing enhancements and new solutions to meet the changing business needs of staff.

•Acts in an advisory capacity to SAR units to develop unit specific guidelines to organize, retain and share unstructured information using Bank’s Information Management Systems and tools.

•Develops and coordinates introduction of  ‘Less Paper Office’ (LPO) programs in SAR Units;

•Conducts training programs to increase staff awareness of Institutional Records Retention and Disposition Schedule (RRDS); organizes help from central Library/ Archives units as and when necessary

•Collaborates with Web/ Knowledge Management staff in the Region to integrate and leverage services to support Region’s Knowledge Management Strategy.

•Guides and provides higher level support to Information Assistants/ Coordinators in SAR on issues and problems relating to Record/ Document Management as perinstitutional policies; coordinates development and sharing of best practices across locations in the area of Document Management.

•Represents SAR and its Information Assistant Community in institutional forums where solutions and issues relating to Record/ Document Management objectives of Bank are discussed.

Work implies frequent interaction with the following:

•Information Management staff in ISG and other VPUs

•Staff and Managers in SAR both atWashingtonDCand in  Country Offices

•SAR IT staff in DC and Country Offices

•Good Knowledge of Social/ Team Collaboration tools like MS Sharepoint etc.

•Expert ability to train staff at all levels in a wide range of topics in Information Management Area.

•Proficient in implementing and supporting Records management policies and practices including classification, retrieval, reference, research, and advisory services.

•Proficient knowledge of  industry standards, controls and best practices in the area of  electronic document management and  information security

•Good knowledge of Industry standard content management systems like Documentum

•Basic knowledge of web publishing and related technologies

•Basic knowledge and ability to market the products, programs, and services offered to internal or external clients.
